Digital Services Manual

Practical guide for FDUstudents.

Manual contents

To the beginning

You don't have to have seven systems in your head at once.

FDU digital services are a signpost to things you'll actually use during your studies: subjects in AIS2, school email, files in OneDrive, communication in Teams, film materials, festivals, music and technology. Come back here whenever you need to solve a specific problem.

01 / Academic Information System

AIS2

AIS2 is a place for subjects, registrations, study results, and other study administration.

What are you solving in it?

Especially course registration, study results and actions related to study obligations. Always follow the instructions of the study department for important deadlines and decisions.

When will you need it?

  • when you write down or check items,
  • when you are looking for a rating or result,
  • when you check the data related to the study.

How to get started

  1. Open AIS2 via the button below.
  2. Log in with the details provided by the Academy of Arts.
  3. Choose exactly the part you are currently working on; follow the instructions of the study department when registering or scheduling.

02 / School account

Microsoft 365

Microsoft 365 is general access to applications and services available through your AUschool account, such as Word, Excel, and PowerPoint.

When will you be able to?

  • when you are working on text in Word,
  • when you prepare a spreadsheet or budget in Excel,
  • when you create a presentation in PowerPoint.

Start simple

  1. Open Microsoft 365.
  2. Log in with the school account assigned to you AU.
  3. Choose the application you need right now.

03 / Outlook

School email

The school email box is used for communication with the faculty, teachers, and the study department.

What are you going to do here?

You can read and send messages, find official announcements and invitations, and organize your communication by subjects or projects.

How to get started

  1. Open Outlook on the web.
  2. Sign in with your school Microsoft account AU.
  3. Check your inbox and spam folder regularly.

04 / Cloud storage

OneDrive

OneDrive is a place where you can store, sync, and share your study files online through your school account.

What to use it for

Save your term papers, presentations, production documents, or project folders here so you can access them from another device.

Simple procedure

  1. Open OneDrive and sign in with your school account.
  2. Create a folder for your subject or project.
  3. Before sharing, check who you are giving access to and whether they can only read or edit the file.

05 / Communication and online learning

Microsoft Teams

Teams is used for team communication, online meetings, and sharing materials through a school account.

When will you open it?

When a teacher or subject uses Teams, you need to join an online meeting or find material shared in a specific channel.

How to get started

  1. Open Teams and log in with your AUschool account.
  2. Check your teams, activity, and calendar.
  3. Before the meeting, test your microphone, camera, and sound equipment.

06 / AU student ID card

ISIC

The ISIC card serves as a student ID card at the Academy of Arts. The current conditions of issuance, validity, renewal and use are published on AUcentral website.

Verified information

The Academy of Arts issues a student ID card based on a contactless smart card with the ISIC visual. Specific fees and organizational instructions may change, so always check them for the current academic year.

What you won't find here on purpose

The manual does not explain the activation process or renewal procedure. Please use official AU information or instructions from the office that issues the card.

07 / Internal catalog

FDU Film Database

Internal catalog of FDU audiovisual outputs — from student films to event recordings and outputs of the Simulation Center.

What you will find here

Student films, yearbooks, bachelor's and master's theses, film exercises, recordings of theater performances, current events, performances, workshops, events and other school outputs.

When will you open it?

When you search for a film by title or author, you want to verify your submitted output after processing, or you need to search the internal archive.

How to search for a movie

  1. After logging in, open the database and enter the title of the film, the name of the author, or other known information into the search.
  2. Narrow the results by filter: Film type, Production year, School year, Grade, Processing status or Vimeo folder.
  3. On the movie tab, open Details or Watch Videowhen video is available for the recording.

09 / Festival materials

Festival Kit

A form for a situation where materials for a student film are being prepared for a festival application, catalog, or communication with the festival.

When will you need it?

When a film goes to a festival or when an educator, production or festival coordinator needs to have ready-made materials in one place.

What is mandatory

The form guides you through the required fields and shows you what is missing in the last step. Don't just submit it with "temporary" links that will be disabled later.

Prepare your materials

  1. Final film: existing full Vimeo link or new video file. For new files, upload the final master in the highest quality available, as it may be used for DCP production.
  2. Trailer 30–90 seconds: Vimeo link or new video file.
  3. English subtitles: direct upload SRT, VTT or TXT.
  4. Poster: JPG, JPEG, PNG or PDF, maximum 5 MB; the form states a minimum of 1000 px.
  5. Director's headshot: JPG, JPEG, PNG or WEBP, maximum 5 MB; the form specifies a minimum of 1000 px.
  6. Film stills: at least three direct uploads in JPG, JPEG, PNG or WEBP, maximum 5 MB per photo; form specifies minimum 1920 px.
  7. Texts: catalogue annotation in both SK and EN 30–50 words, synopsis 50–150 words, director's statement 150–300 words and director's bio maximum 100 words.
  8. Credits: are required. Producer or contact person is optional.

10 / Production music

Music bank

Licensed production music for school films, productions, presentations and other non-commercial creative outputs FDU.

When to use it

When you are looking for music for a project created within the framework of a study or under the auspices of a faculty and you need to have a clear origin of the composition used.

How to get access

  1. Open the Music Bank.
  2. Register with your AUschool email.
  3. Wait for verification and a confirmation email from the platform.

Practical procedure

  1. Search for music directly in the Music Bank and choose a song for a specific non-commercial school project or a project under the FDUbanner.
  2. Please check the terms for your account and the song before using.
  3. For your own reference, save the song title, author/interpretation, link, and date of use in the project folder.

11 / Equipment rental

Equipment reservation system

Online entry for booking film, sound and lighting equipment, accessories, media and other FDUequipment. The external system uses Booqable.

Who can book?

  • only a FATRAS student with an assigned account,
  • without equipment not returned after the deadline,
  • without access restrictions for violating the rules.

You log in with your school email and create your own password. When booking, please state the purpose of the loan, the name of the project, and a note if necessary.

Login page of FDU equipment reservation system with email and password fields
When making your first reservation, you will personally sign a confirmation of familiarization with the rules.

Basic and advanced access

The scope of the technique depends on experience and skill. Advanced technique is available after completing the Film Studio Practice I and II courses and demonstrating the ability to work safely with specific equipment.

Issuance and return

Monday to Friday from 10:00 to 14:00 in the equipment warehouse at the film studio, only on confirmed dates. Standard maximum 48 hours, maximum 72 hours on weekends.

During the rental

  1. The equipment is reserved, collected and returned only by the person named in the reservation. Responsibility cannot be transferred to another student.
  2. Upon receipt, immediately check for completeness, functionality, damage, batteries and accessories. Unreported defects are considered accepted as in order.
  3. Use the equipment only for its approved purpose, professionally and carefully. Do not leave it unattended or lend it to other people.
  4. Return it on time, in person, clean and complete, with charged batteries, formatted cards, and accessories stored properly.
  5. Always report damage, malfunction, loss or other unusual event.

12 / When something gets stuck

Most common problems

Check the simple things first. If the problem persists, send the person helping you as detailed a description as possible — it will speed up the resolution.

Unable to submit movie submission

Open the Review and Submit step, complete all required fields, and verify that you have selected the output type, video, required stills, and text materials. Also check your internet connection.

The movie is not immediately playable or I don't see it in the database yet

Once submitted, the video is recorded and processed in the background. For longer movies, it may take a while before it can be played or displayed in the catalog.

I do not have access to the FDU Film Database

Check if you are logged in to your FDUschool account with your school email and password. Ask your teacher or designated person for current access.

I don't know what type of output to choose for a movie

Yearbook film belongs under Yearbook film, bachelor's and master's theses under the appropriate type. For exercises, trailers or other output, let the form adapt to the selected type. If you are hesitant, check with your teacher before sending.

I can't log in to AIS2, Microsoft 365 or Booqable

Do not create a new account or use someone else's account. Check that you are on the correct page, and if access still does not work, contact the relevant department via FDUcontacts.

13 / Where to look for help

Contacts and next step

If the answer is not in the manual, contact the place where the matter is actually being handled. There is no shame in asking before you submit incorrect documents.
